Why the licence price is the wrong comparison
SharePoint is included in many Microsoft 365 plans, so it can look free, while M-Files is licensed separately per user and its pricing is not published. Comparing those two numbers tells you very little. The larger costs sit around the software: designing how information is organised, configuring permissions and retention, migrating existing content, training people, and administering it year after year.
What SharePoint really costs
The platform is flexible, and that flexibility has to be designed. Someone must decide on the site structure, content types, metadata, permissions and retention, and keep those decisions consistent as teams create new sites. Some records and compliance features depend on your Microsoft licence tier, so check what your current plan includes before assuming it covers your needs. Without that design work, the usual result is permission sprawl and content that is hard to find, which is a cost of its own.
What M-Files really costs
M-Files adds a per-user licence and an implementation to design the metadata model, workflows and permissions. In return, documents are found through their metadata rather than their folder, and the platform can present content that sits in other repositories, including SharePoint, in one controlled view. Teams also need to learn to work with metadata instead of folders, which is a change-management cost worth planning for.
Where cost shows up later
Ongoing administration, clean-up of over-shared content, time spent preparing for audits, and effort to prove retention and disposal all land after go-live. A platform that is cheaper to buy can be more expensive to run if governance has to be maintained by hand, and the reverse can also be true. This is why a multi-year view is more useful than a first-year price.
How to compare them fairly
Define the same scope for both: the same departments, the same number of users, the same record types and the same retention requirements. Ask for an itemised quote covering licences, implementation, migration, training and support, and ask what is excluded. A short pilot on one document-heavy process will show you more about real effort and adoption than a spreadsheet comparison.
Common questions
Is SharePoint free?
SharePoint is included in many Microsoft 365 plans, so you may not pay a separate licence. Designing the structure, permissions and retention, migrating content and training people still takes time and money. Check exactly what your plan includes.
Is M-Files more expensive than SharePoint?
M-Files has a visible licence cost where SharePoint may not, but total cost depends on how much design and governance work each needs. Get itemised quotes for the same scope rather than comparing licence prices alone.
Can M-Files work alongside SharePoint?
Yes. M-Files can present content held in other repositories, including SharePoint, in one view, so you do not have to move everything at once.
Can we start with a small pilot?
Yes, and we recommend it. Choose one document-heavy process, define the metadata and retention rules, and test it before committing to a wider rollout.
